PORTFOLIO SYSTEMS ADMINISTRATOR

The Portfolio Systems Administrator plays a pivotal role within Grandfield & Dodd’s data and technology team and is responsible for managing, optimizing, and ensuring the efficient operation of our portfolio systems. The ideal candidate will possess a blend of technical understanding, financial knowledge, and keen attention to detail, supporting the smooth operation of our investment strategies and the needs of our portfolio managers.

Core Responsibilities

  • Manage operational aspects of new account onboarding, including setting up account attributes in the portfolio accounting system, data feed connectivity to the custodian, and verifying funding status.
  • Ensure transaction/position integrity in Advent APX against client custodial records, including reviewing asset transfers, cost basis information, and corporate action transactions.
  • Maintain portfolio groups for performance, portfolio management, and compliance needs.
  • Research and remediate reconciliation discrepancies daily. Requires close and frequent communication (email and phone) with counterparts at custodial banks and internal settlement teams.
  • Prepare and distribute all month-end accounting and performance statements, per client-specific instructions, for the assigned client list during the first 7 business days after month end.
  • Oversee necessary steps for other operational activities over an account lifecycle, such as contributions/withdrawals, audit requests, and account terminations.
  • Safeguard that all system activities comply with regulatory and internal standards.
  • Provide internal “customer” support, quickly responding to a high volume of time-sensitive questions and requests from multiple internal teams.
  • Affirm trades on DTCC – TradeSuite

Requirement

  • 3-5 years of direct experience using the Advent Investment Suite (Moxy, Genesis, APX, REX)
  • Strong understanding of financial markets, securities, and portfolio management processes.
  • Technical proficiency, including familiarity with database management, Visual Basic, SQL, or relevant programming languages.
  • Ability to articulate issues and risks and propose solutions to various levels of staff and management.
  • Ability to drive continuous improvement and execution excellence.
  • Detail-oriented with a high degree of accuracy
  • Familiarity with Bloomberg and Factset
  • Bachelor’s degree. Preferably in accounting, finance, or relevant field.

CLIENT SERVICE ASSOCIATE

Grandfield & Dodd, LLC, an independent NYC-based registered investment adviser, seeks a Client Service Associate to join our boutique firm. We employ a research-centric approach to oversee approximately $1.8 billion for high-net-worth individuals, families, and trusts via separately managed accounts holding primarily individual stocks and bonds.

Equity investments are long-only with low turnover and include mega, large, and mid-cap companies. An extended investment horizon of 3+ years requires long-term thinking, rigorous analysis, and an understanding of company and industry fundamentals.

Founded in 2001 with less than $100 million in assets under management, Grandfield & Dodd continues to grow its business on the strength of its client relationships, many of which span multiple generations. Correspondingly, we are looking for investment professionals to help us build a multi-generational firm that can serve our clients’ needs in the decades ahead.

The Client Service Associate position is focused on delivering administrative and operational support to our high-net-worth individual and family office clients. This involves performing various tasks aimed at organization and communication, executed promptly and with a professional demeanor. In this role, you will engage with multiple external and internal contacts spanning all levels within the firm.

What you’ll do

  • Provide support to the portfolio management team by administering client data, paperwork preparation, monitoring portfolio transactions, and ongoing client support.
  • Manage the end-to-end process of onboarding new clients, from straightforward to the most complex; prepare custodial paperwork, open accounts with custodians, and reconcile holdings and cost basis for new and transferred accounts.
  • Responds to and resolves client requests; completes necessary financial paperwork to execute client requests, change beneficiaries, and other account features.
  • Execute client funds transfers via custodian systems.
  • Interact with CRM (Client Relationship Management) system with client information, tasks, and workflows.

Who you are

  • 2- 4 years of experience in client service and operations roles with a financial firm.
  • Experience with Advent Suite of products (Advent Moxy APX Genesis) is a plus.
  • Experience in CRM and client reporting/billing/portal systems is a plus.
  • Proficient in MS Office (Outlook, Word, Excel).
  • Enthusiastic and positive approach to client service and problem-solving.
  • Excellent written and verbal communication skills.
  • Ability to multi-task and prioritize work continuously.
  • Strong attention to detail and high quality of work.

We expect the base salary range for this role to be approximately $60,000 – $ 70,000 USD. Various factors contribute to determining the actual base compensation offered, including, but not limited to, the applicant’s years of relevant experience, career tenure, qualifications, level of education attained, certifications or other professional licenses held, and relevant skills for the role. Base salary is one component of Grandfield & Dodd’s compensation package, including up to 25% bonus: 25% employer contribution to a self-directed retirement account.
